Settings for Voyager and OCLC

Every time you get a new computer, you will have to re-do your settings in Voyager and OCLC. This document contains a recommended list of settings for these applications.


Open Voyager. Go to Options à Select Preferences. You will get a box that looks like this:

Bibliographic Import/Replace Profile = OCLC-Addconditional.Recommended setting. Selecting this setting will cause Voyager to identify a record with the same OCLC number and ask you if you want to replace it with the record you are importing. This can be useful if you are overlaying because it tells you whether you are about to overlay the right record.

Holdings/item default location will set the location that appears in the 852 field when you create a new holdings record and the location in the permanent location field on the item record.

Checking the first of four check boxes on the bottom is optional if you are not working with records created in Voyager. If you are, you will wish to select “Delete records from work files once saved to database.” Check all the other boxes.

General tab [cont.]:

Call Number Hierarchies = OCLC-Addconditional OCLCCO-0 Library of Congress. Recommended setting. Click on the arrow next to the Call Number Hierarchies box and select the above setting. If people have this wrong, it can lead to 852s with no first indicator on the holdings record. With no first indicator, the call number doesn't index. Using the setting OCLCCO - 0 Library of Congress seems to get the call number and indicator inserted correctly when a new MFHD is created.

Validation tab:

Cataloging format should be set to Marc21. Bypass all validation but “Decomposition of accented characters.”

Work Flow tab:

Every box on this page is optional, but I recommend checking the boxes checked above. These options are really a matter of personal preference.

Item Defaults tab:

Item type will set the default item type on the item record. Unless you are working with non-print material, it should be set to “book.”

Folders/Files tab:

The templates section in the upper left quadrant is where you go to select the default templates for new bib records, holding records, and authority records. Click on the button with “…” next to the template type you wish to assign. This will pull up a standard Windows box showing the file list in the Voyager folders. Navigate the list, clicking on folders as needed until you locate the appropriate template. Click on the template name and then click on Open. The new file path should show up in the appropriate window.

You can set the file path for templates and the import file so that the system will automatically open the folder you select. In the above example, if your OCLC.dat file is sent to the Voyager folder, typing c:\Voyager in the import file box will automatically open the file list in the Voyager folder when you import a record from a file.

Mapping tab:

Select MARC21 MARC-8 (non-Unicode) for the character set.

Colors/Fonts tab:

This is where you can select the colors for the text and backgrounds for each of the record types. It is recommended that the bibliographic, holdings, and authority screens under MARC Views have different colors. That way you can always tell whether you are viewing a bibliographic, holdings, or authority record.

Font name should be Arial Unicode. If you don’t have Arial Unicode under the font list, Lucinda Sans Unicode works almost as well.

OCLC Settings

In OCLC, go to Tools à Options.

Authorization tab:

Set your OCLC authorization number and password plus the name you want OCLC to use in this window. If you are using more than one authorization number to log onto OCLC, select one of them as the default. The default authorization is the one that the system will use to log you onto Connexion.

Export tab:

This is the tab for setting where you want your OCLC export file to go. Click on the Create button and specify the path you want if it does not appear in the window. Once the file path you want appears in the window, highlight it and click OK.

If you have problems with two 035 fields on your records when you import them into Voyager, this is the place to fix it. Toward the bottom you should see a button that says Field Export Options. Click on the button. There will be a box to fill in. Put 035 in the top field (the one that says Bibliographic Records. Click OK. Then Click OK on Options. Once you have done this, the records you import into Voyager should have only one 035 field.

Derive Record tab:

Select the fields you want transferred to the new record when you derive a record. I’ve found the above fields to be the most necessary if you want to get everything but the stuff that’s not repeated. You probably don’t want to select 02x because the ISBN in the 020 will be different on the new record. For the same reason, you probably don’t want to transfer the 035 field, so do not select 03x.

Font tab:

You can select the font you want OCLC to use to display records. If you want the same font that you have in Voyager, click on the down arrow and select it.

Toolbar buttons:
You can customize the toolbar by selecting Tools à Toolbar editor.

Just select the symbol you want to add from the window and drag it to the tool bar. To remove an icon, drag the icon from the toolbar to the window. It is highly recommended that you remove the icon which is located next to the Action Update Holdings button. This icon, highlighted above (Action Produce and Update Holdings), is the one that updates the record AND produces a catalog card. The two icons are easily confused, so unless you have to produce catalog cards, remove this icon from the toolbar so you don’t accidentally produce cards when updating.
